The Service Coordinator will be a direct liaison, or single point of contact, for deployed GSII employees, and will maintain assigned area of responsibility while ensuring GSII employees are mobilized or demobilized effectively to job sites globally. Coordinates all client master contracts, purchase orders, proposals, client contracts for individual employees, and employee contracts from origination to extensions or expirations. Updates the company database as appropriate on a daily basis regarding employee site information and active/inactive status. This position will be the liaison between Sales and Finance.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Initiates mobilization and demobilization process on appointed projects
- Prepares asset requests (Dialcomm Cards, Corporate Credit Cards, etc.) through proprietary database
- Administers new hire paperwork process for prospective employees
- Keeps contact with employees to maintain knowledge of job status, updates employee personal data, obtains and uploads updated CVs and provides any support necessary to the field employee
- Updates and maintains PowerSource as applicable, with job information, assets, and sales data
- Ensures GSII employees clearly understand and have signed all EHS requirements
- Assists with determining proper charge numbers for various projects and communicates to Billing
- Coordinates pay/bill information using accounting software
- Updates employee status in the company database on a daily basis
- Assists with terminations as directed by Service Manager and Director
- Initiates requests/follow up on information in the GE Travel Advisory System (TAS)
- Assists in the generation of, and maintains the employee assignment letters, offer letters, and client contracts for the appointed projects
- Assists in verifying compensation and bill rates, accuracy of site information, and project duration
- Verifies finalization of employee and client contracts
- Develops and implement process improvement tools to measure the overall effectiveness of key operational functions
- Assists with Segment Accounts Payable and Accounts Receivable actions as directed
- Provides metrics/data reports from proprietary database and Oracle to Segment Manager as requested
- Performs other duties as assigned
